This policy covers collecting and using personal data collected by Sports Focus Group, as required by GDPR and UK Data Protection legislation. We are devoted to ensuring that your data is treated according to this policy, which has safeguarded your privacy at the heart of its priorities. Your information will only be used in ways disclosed in this policy and by your rights under the law.

This policy is subject to change, and we advise that you regularly familiarise yourself with how data is being used so that you can rest assured that when you provide personal information, it will be protected. Upon first using our booking system, you effectively accept the conditions of this privacy policy.

Types of data held on our system

-        Parent(s) name 

-        Email address for the customer 

-        Contact number for the customer and second parent / Carer

-        Emergency Contact number

-        Child’s name

-        Child’s age 

-        Child’s medical conditions or allergies 

-        Consent for photos/videos 

-        Comment box in which any other information can be inputted

-        Value of services purchased 

-        Any card details are processed by Class for Kids and are not accessible to Sports Focus Group

The purpose of holding this data

-        To conduct a class, register for that specific booking

-        For contacting customers regarding the class or event they have booked

-        The child's age is held so we can tailor learning to their age range and refer to the age-related EYFS guidance. 

-        Consent for photos to ensure we are following our safeguarding guidelines

-        Allergies are held so we can adapt to first aid efficiently

Who has access to your data:

Staff at Sports Focus Group will have access to your data. We use this data to communicate bookings, changes, or emergencies with you. We may also contact you with promotions or reminders regarding our services. We will communicate with you via telephone, email, or text.

Safeguarding data 

The organisation will take all proportional steps to safeguard the data from unauthorised access.

Data Storage 

Electronic Data will remain subject to EU Data Protection Regulations (GDPR) within the UK/EU and will not be transferred to or stored on servers outside the UK/EU.

Deletion of Data 

Data which has fulfilled its purpose will be deleted, subject to other legislative requirements. You have the right to request the removal of your account at any time.

If you wish to have a copy of the personal information we hold on your account, you may make a written request (email) for a ‘subject access request.’ We will then aim to provide you with a copy within 28 days.
